email archiving : Compelling Arguments for ArchiveStore/EM
Mailstore is first and foremost a message archiving system that provides the end user with the flexibility to manage messages in a way that is familiar, flexible and efficient
At the same time there are a number of important differentiators which will significantly impact:
- The ability to achieve true compliance using the archive
- The capital and ongoing costs of the solution
These differentiators are:
Compliance
In order to achieve compliance with the varying regulations in particular BSI DISC PD 5000: 1999, and BSI code of practice PD 00008,PD 0010 and SEC 17a organisations must be able to demonstrate:
Privacy: data access is controlled by a set of policies which ensure that access to messages is restricted to the recipient or the archive administrator.Integrity:data integrity is ensured by the automatic encryption and digital signing of the message as it is stored in the archive.
Auditability:all actions of the system, archiving, policy changes, data access, are logged and can be audited. The audit trail is built into the email archive application and can be properly and independently audited and verified.
Other products rely upon the use of high cost, complex storage solutions to address all of the above requirements. ArchiveStore/EM is the only email archiving solution that deals with these issues natively and independently of the underlying data storage mechanism. This has a significant impact on initial capital cost as well as long term cost of ownership.
Zero Client Footprint
The application does not require any email client plug-in. This dramatically reduces the administrative overhead and eases deployment / ongoing management relative to other plug-in based archiving solutions. Any email client is supported.
Central Control
Recent court rulings by SEC and others stress the need for systems to provide company wide assurance that policies are enforced. It is imperative to have a granular policy which is centrally enforced in order to achieve compliance with varying legislative requirements. Other solutions fail to conform because they rely upon the client plug-in to achieve this and require the end user to apply rules to messages.
Mailstore's approach is to provide a highly flexible, centrally managed, policy driven enforcement engine which controls storage of email, defining retention period and storage medium. This enforcement engine is automatic and fully auditable.
Long Term Data Integrity via Platform Independence & Open Standards
Mailstore's integration is based on open standards, (e.g. LDAP, Java, SQL, IMAP) and provides a future proof solution with no specific tie-in to proprietary technologies.
In particular this allows operation with a wide variety of mail systems and any storage databases and provides long term data security by removing any possible dependency upon a particular mail system for access to the archive.
Deployment Flexibility and Security
The standards based architecture supports heterogeneous multiple mail server environments, thus facilitating deployment either at the end-user site or in ASP configuration.
ArchiveStore/EM uses standard TCP/IP connections, which are easily secured for the purposes or remote access in the context of either client remote access to archive or ASP deployment.
Other solutions require archiving to be enabled at both the individual mailbox level and at an organisational level using journaling, meaning that more than one copy of each message may be stored. ArchiveStore/EM provides single instance storage across the complete message space, including imported PST files from Exchange.
Summary
Constantly evolving regulation means that more and more organisations are being affected by compliance legislation. In this context the issues discussed in this document are of paramount importance to everybody. It is our experience that wherever potential clients have thoroughly assessed these matters they have concluded that ArchiveStore/EM is the only email archiving solution that comprehensively addresses the necessary functional requirements.
